FAQs

I haven’t used SmartyGrants, how do I get started? 

Click here and select the grant round you wish to apply for. Click Log in and then Register to create a SmartyGrants account by entering your name, the name of your organisation, email address and a password.

For new users, an activation email will be sent to your registered email address to complete the setup process. Follow the instructions in the email to activate your SmartyGrants account and you’re ready to start your first grant application! Please note that the email address you enter will become the main point of contact for grant correspondence, including notification of application outcomes. 

Using a team or generic email address for your SmartyGrants login is recommended, as multiple people in your organisation may need to access your account over time. 

How do I find out what information I’ll need to complete my grant application? 

Log in and select your grant round. You can preview or download a PDF of the form prior to commencing your online application, allowing you to view each section before commencing an application. 

Can I submit a paper-based grant application? 

Unfortunately not. If you are having trouble with online application process, please seek advice from the Town's Community Development Officer - Grants, Donations Administration at admin@vicpark.wa.gov.au. or on (08) 9311 8111.

Can more than one person in my organisation work on a SmartyGrants application? 

Only one registered SmartyGrants user can work on an online grant application or reporting forms at a time, unless you use SmartyFile. 

If more than one person is contributing to your grant application or reporting, you may wish to download and/or print the PDF form so each contributor can prepare relevant information prior to one person entering the data into the online application or reporting form. 

SmartyFile is an innovative solution, designed to make grant management easier for organisational users of SmartyGrants. It helps to manage access and administrative tasks.  

Can I save my application and complete it later? 

Yes, you can make a start then complete your application later.

It is recommended you save your document by clicking the Save Progress button every 10-15 minutes to avoid losing your work. When you are ready to exit SmartyGrants, you can click Save and Close. 

Where is my application saved? 

Your application is saved and stored online and can be accessed anytime by logging into SmartyGrants.

The application is not saved to your computer. You can download a PDF version of your form for your records or to work on both when it has been submitted and when it is in progress. 

How do I find my applications after I have logged out? 

Log into SmartyGrants and click on My Submissions. All your application and reporting forms that are in progress or that have been submitted can be found here. Forms related to the same grant program will be grouped together. 

How do I know if my application has been submitted? 

Once submitted, the registered email address will be sent a confirmation email along with a PDF copy of the completed application or reporting form. 

I have submitted my form, but I have extra information to add or a change to make. What can I do? 

The Town's Community Development Officer - Grants, Donations Administration can reopen a form after it has been submitted. If you discover extra important information or need to make a change after submission, you can request the form be reopened for a short time to allow you to make changes. If this request is approved, you will receive an email notifying you that the form has been reopened and when it is due.

How will I complete the reporting requirements associated with funding? 

The Town also uses SmartyGrants to manage reporting requirements for our funding programs. You will be emailed notifications when your reporting is required. The email will contain a link to the reporting form that you will need to fill out by the required due date (as per your Service Level Agreement or Funding Agreement). Late reporting may result in ineligibility to receive further funding. 

When I try to submit my form in SmartyGrants, I get an error message. What should I do? 

SmartyGrants forms are set up to only allow submission when all required questions (those marked with a red asterix) are completed. If you get an error message on submission, SmartyGrants will highlight the required question/s that you have not completed. Once you have completed those questions you should be able to submit your form.

If you feel that a required question does not apply to your situation, you can write “not applicable” or provide information about why the question does not apply to you. Some questions require a specific type of answer (such as a number instead of words, a maximum number of choices or minimum number of words). If this is the case, there will be a hint explaining the requirements below the question.

When should I contact SmartyGrants?

You can contact SmartyGrants at service@smartygrants.com.au if you need support with things such as:

  • Resetting passwords 
  • Changing usernames
  • Deleting unsubmitted forms (for privacy reasons only, otherwise not necessary) 
  • Other general technical issues with the SmartyGrants portal.
